We are hiring for a great client in Irvine, CA. We are seeking an experienced Office Services Supervisor to oversee facilities operations and front office/reception functions in a dynamic, fast-paced environment. This is a permanent, on-site opportunity with a company that values organization, efficiency, and a strong employee experience.

 

This role is responsible for leading both facilities and reception teams, ensuring day-to-day operations run smoothly while also driving projects and long-term workplace improvements. The ideal candidate is a hands-on leader who can balance operational oversight with strategic initiatives, while effectively collaborating across departments and with external vendors.

 

Key Responsibilities

Leadership & Team Oversight

  • Supervise and support facilities and front desk staff, including backup reception coverage
  • Manage scheduling, workload distribution, and team performance to ensure operational efficiency
  • Foster a collaborative, accountable team environment focused on problem-solving and service excellence
  • Lead regular team meetings, check-ins, and project updates to maintain alignment and communication

Facilities Management

  • Oversee daily office operations including maintenance, cleanliness, and safety
  • Coordinate and manage vendor relationships, service contracts, and facility-related projects
  • Lead larger-scale initiatives such as office improvements, renovations, and upgrades
  • Ensure compliance with building, safety, and environmental standards
  • Manage facilities-related budgeting, tracking costs while maintaining quality
  • Support and oversee internal safety-related initiatives and programs

Reception & Office Operations

  • Oversee front desk operations to ensure a professional and welcoming experience for employees and visitors
  • Manage reception coverage, training, and process consistency across primary and backup staff
  • Partner with internal teams to coordinate meetings, visitor logistics, and office communications
  • Support day-to-day office operations including supplies, vendor coordination, and general workplace needs

Project Management & Process Improvement

  • Lead projects from planning through execution, including timelines, resources, and deliverables
  • Take a hands-on approach in addition to delegating tasks to ensure successful outcomes
  • Identify opportunities to improve processes, workflows, and team efficiency
  • Track progress, resolve challenges, and provide updates to leadership as needed

 

Qualifications

  • 5+ years of experience in office operations, facilities, or administrative leadership
  • Prior experience supervising teams in a professional office environment
  • Strong project management and organizational skills with the ability to manage multiple priorities
  • Excellent communication skills with the ability to collaborate across departments and vendors
  • Proactive, hands-on approach with strong problem-solving abilities
  • Proficiency in Microsoft Office and general office systems
